Workday optimization goes live

The Workday Optimization Project is a collaborative effort to to re-align supervisory structures and membership in the Workday system.

Changes resulting from the BSD Workday Optimization Project are officially live across most units in the Division.  Please see below for information on this important initiative.

What is the BSD Workday Optimization Project?

The BSD Workday Optimization Project is a collaborative project across the BSD to align teams, employees and roles more accurately in the Workday system.  Since spring 2022, BSD designees have collaborated with unit Human Resources leaders and University of Chicago ITS Workday Solutions (WDS) team to re-align supervisory structures and membership in the Workday system.  These changes will ensure consistency, allow for improved visibility and more accurate reporting for managers and administrators, and better align Workday with the upcoming Financial Systems Transformation (FST).

What is changing?

The Workday Optimization Project included two main adjustments to data in Workday:

  1. Re-aligning supervisory organization structures and membership across the Division using standard naming conventions and membership guidelines 
  2. Role security review and reprovisioning to ensure that managers and administrators have access to necessary functions and reporting. 

How will this affect me?

Most Workday users will not be affected by the changes.  If you are an employee who uses Workday to enter time worked and personal information and you do not manage a team or administrative functions, nothing will change in how you use Workday.  The primary changes have to do with the names and membership within supervisory organizations—some organizations will be renamed and re-aligned. 

Some manager and administrator Workday roles have changed to allow best functionality and practice.  These changes and adjustments will expand visibility for these users and provide more accurate reports. 

When is this happening?

Restructuring and testing was completed by unit Human Resources leaders over past several months, and system go-live took place over weekend of February 11, with changes in effect across most units in the BSD as of Monday, February 13, 2023.  Changes in the departments of Medicine and Pediatrics are expected to go-live the weekend of February 18.

Where can I get more information?

Unit partners have been engaged throughout this process and have made adjustments to units following the guidelines for standardization according to unit needs and Divisional standards.  For any questions or feedback relating to this project or Workday, reach out to your unit administrator or Human Resources Partner.  Project partners will have several different channels to ask questions and receive support directly from the project team, including drop-in sessions and a Microsoft Teams channel.  You can also expect additional targeted communication and support in the days and weeks ahead through your HR partners.
